Microsoft Dynamics CRM includes three out of the box duplicate-detection rules. We'll be using the Leads with the same e-mail address rule. In this rule, Microsoft Dynamics CRM compares the e-mail address field of each record. If the address fields match, it is considered a duplicate. Blank fields are also considered an exact match.
To begin, in the Leads list, I'm going to look at my Open Leads view. I am going to select a set of records, and then in the More Actions menu, click Detect Duplicates. I could run this job on all of the records on all pages, but I'm just going to run it on the selected records.
This is the duplicate-detection wizard. The name and start date are filled out automatically. I could also schedule this job to run at a later time or to run on a regular interval. I'm also having an e-mail sent to me when the job is finished.
To start this job, click OK. You won't get a dialog box or other message telling you that the job is complete. You can just keep on working. If you or someone else in your organization has created other duplicate-detection jobs for lead records, they will also be run. When you are ready to work with the duplicates found, go to Workplace, and click Duplicate Detection. Here is the job that we just ran, and according to the status, it ran successfully. Let's take a look at what was found.
In the job record, click View Duplicates. The first duplicate is for a lead named Aaron Con. Let's check both records. First, we need to open the record on the top, and then open the record on the bottom. Now let's compare the two. It looks like it's the the same person, but the bottom record has more information like a phone number and an address. So now I can close these records. If the two records were identical, we could simply click Merge Automatically.
But since one record has more information, we're going to select one as the master. The Merge Records dialog shows us all the fields that have data. I can select all fields with data and then select which record I want to be the master record. And now I can click OK to merge the records. When the merge is complete, I can click OK.
Now I can go on to the next record. Or I can close the job and come back and finish it later.
