Video: Using Advanced Find

Learn the steps for running queries in Advanced Find, including entering the criteria, or fields, that will help you filter your search. You can use Advanced Find to search for records with certain criteria that you choose. After you get the results of the search, you can either analyze the list of records, or you can do tasks such as sharing or assigning those records to other users. You can also save the search for future use as a personal view. We're going to search accounts records and then save the search.

To begin, find the view on which you would like to search. In our case, we're looking at all Active Accounts. Now click the Advanced Find button.

Advanced Find opens ready to search on the records in the area you're coming from. For example, we were looking at the Active Accounts list—and Advanced Find is set to search on those. You can change the view you want to search on.

We're going to look for active accounts assigned to a certain territory—Eastern. To select criteria, in the details area we'll click Territory in the drop-down box, then select Equals, and then select Eastern.

There are many other criteria, or fields, that you could search on, but for this video we'll go ahead and click Find to see the results.

Here you see the list of results—all the active accounts in your organization that are located in the Eastern territory. If you wanted to refine the results even more—for example, to see all the active accounts owned by the account manager Jane Rao in this territory—you can click the Back to Query button and add more criteria to the search.

We're going to save these Advanced Find results now. In Microsoft Dynamics CRM, it's also called saving a personal view. To do this, click the Back to Query button.

Back in this pane, click the Save As button.

Type in a name for your new view, and add a description if you wish. Click OK to save this as a personal view.

You'll probably want to have access to this saved personal view in the future. You can find it, and all your saved Advanced Find searches, on the Saved Views tab. You can now close the Advanced Find window. And, you can also see your saved view in the accounts area. First, refresh the full page. Return to the accounts area. And, in the View drop-down list, select your new personal saved view.
