Create a price list to use for a sales promotion
A sales promotion is a great way to get people to purchase a product. In this article a fictitious company, Wingtip Toys, is used to illustrate an example of a promotion pricing scenario.
Price lists for promotions
To set up this promotional price list, Wingtip Toys will use Microsoft Dynamics CRM to create the price list. The price list will include the following elements:
- A discount
- A duration that the price list is valid
Important
The procedures in this article assume that the products and units are established in the product catalog. For more information about how to create the product catalog and add items to it, such as products, units, discounts, and pricing methods, see the Microsoft Dynamics CRM Help.
Wingtip Toys is now a leading distributor of beach balls in their region. To stay ahead of the competition, Wingtip Toys understands that they must continue to attract new customers. To do this, the company decides to launch a promotion where a temporary price reduction will be offered for their beach ball product.
January is the slowest month of the year for Wingtip Toys beach ball sales. The VP of Marketing concludes that, by running a successful month-long promotion during January, Wingtip Toys can significantly increase sales. The new "Stock Up in Winter to Get Ready for Summer" promotion will include a discount of 20 percent off the usual retail price for beach balls.

To implement this temporary pricing, Wingtip Toys must create a discounted price list that only lasts through the month of January. To create the price list, follow these steps:
Step 1: Create the discount list and add the discount
- In the Navigation Pane, click System Settings, click Product Catalog, and then click Discount Lists.
- On the Actions toolbar, click New.
- In the Discount List form, enter the following information:
- Name
Enter a name with a length of 100 characters or less. The information should be meaningful and unique, such as Stock up in Winter to Get Ready for Summer Beach Ball Discount List.
- Type
Select the type of discount that will be applied to the product. You can choose a percentage, or a fixed amount. For this example, select Percentage.
- Click OK. The Discount List form appears.
- In the Discount List form, under Details, click Discounts.
- Click New Discount. The Discount form appears.
- On the General tab, complete the following information:
- Begin Quantity
This is the beginning quantity that the discount will be applied to. For this promotion, all quantities will receive this discount, therefore, type 1.
- End Quantity
This is the ending quantity that the discount will be applied to. Because Wingtip Toys cannot service orders that are greater than 1,000 units, enter 1000.
- Percentage
This is the percentage amount that will be applied to this discount. For this promotion, Wingtip Toys is offering a 20 percent discount. Therefore, type 20.
- Click Save and Close to close the Discount Item form.
- Click Save and Close again to close the Discount List form.
Step 2: Create the price list and add the product and discount list
- In the Navigation Pane, click System Settings, click Product Catalog, and then click Price Lists.
- On the Actions toolbar, click New.
- In the Price List form, enter the following information:
- Name
Enter a name with a length of 100 characters or less. The information should be meaningful and unique, such as Stock up in Winter to Get Ready for Summer Beach Ball Promotion Price List.
- Start Date
Enter the beginning date for which this price list is valid. You must enter the date in the format your organization has set for dates. For this example, select January 1, 2008.
- End Date
Enter the end date after which this price list will no longer be valid. For this example, select January 31, 2008.
Note
Microsoft Dynamics CRM does not enforce the start and end dates for products in the product catalog. As such, users can still add a price list that is expired to quotes, orders, and invoices. To make the price list unavailable, you must deactivate it. For more information about deactivating a price list, see the Microsoft Dynamics CRM Help.
- Click Save. Leave the Price List form open.
Next, the price list items are added to this price list.
- In the Price List form, under Details, click Price List Items, and then click Add Price List Item.
- On the General tab, enter the following information:
- Price List
Microsoft Dynamics CRM automatically selects the price list that you created in the previous steps.
- Currency
Click the Lookup button and select the currency for the price list item.
- Product
Select a product. For this example, select the Wingtip Toys Beach Ball product.
- Unit
Click Lookup to search for and select the unit that you want. For the beach ball product, a unit is selected that represents a single item because the beach balls are most commonly sold individually.
- Discount List
Click Lookup to search for and select the discount list that was created in step 1, which is named Stock up in Winter to Get Ready for Summer Beach Ball Discount List.
- Quantity Selling Option
Select a quantity selling option. This defines the type of quantities in which the product is sold. Because Wingtip Toys does not sell portions or fractions of a beach ball, select Whole.
- Pricing Method
For this example, the pricing method will be set to the default, which is Currency Amount.
- Amount
Enter the base cost that the product will list. For the beach ball product, type 1.
- Click Save and Close to close the Price List Item form.
- Click Save and Close to close the Price List form.
The promotional price list is ready and will automatically calculate the discount for all quotes, orders, or invoices that use this price list.
