Save time with a library of campaign templates

When you create a marketing campaign in Microsoft Dynamics CRM, you can specify a wide variety of information and settings for the campaign, and you can create planning tasks and campaign activities to track the work your organization must do as part of the campaign. If you run similar marketing campaigns frequently, your organization may benefit from creating a library of campaign templates. Exactly like the campaigns they are based on, campaign templates include all the information, tasks, activities, and other settings that you must have to run a successful campaign.

Create a campaign template

You can create campaign templates in three ways:

  • Copy an existing campaign and save it as a campaign template.
  • Copy an existing campaign template and save it as another campaign template.
  • Create the campaign template from scratch.

    Note

    There are several important differences between campaign templates and other types of templates in Microsoft Dynamics CRM:

    • The process for creating campaign templates differs from the way that you create other types of templates.
    • Campaign templates do not appear in the System Settings area of the application.
    • Campaign templates appear in the Campaigns list together with marketing campaigns. The Template column indicates whether an item in the list is a campaign or a template, and you can filter between them by using the View list.

Create a campaign template by copying a campaign or another template

If your organization has already run a successful campaign that you want to reproduce, you can create a new template by copying the existing marketing campaign. Or, if you have an existing template you want to modify, you can copy the existing template to create another template.

  1. In the Navigation Pane, click Marketing, and then click Campaigns.
  2. Open the marketing campaign or campaign template that you want to copy as a campaign template.
  3. On the Actions menu, click Copy as Template.
  4. In the Campaign form, make whatever adjustments to the original campaign or template's settings that are needed for your organization to use it as a new template.
  5. When you have finished setting up your campaign template, click Save or Save and Close.

Create a campaign template from scratch

The steps to create a campaign template resemble the steps for creating a new campaign. The only difference is that you click New Template instead of New on the Actions toolbar.

  1. In the Navigation Pane, click Marketing, and then click Campaigns.
  2. On the Actions toolbar, click New Template.
  3. On the General tab, you must enter information in the following boxes:
    • Name

    Tip

    Add the word "Template" to the name of your template to distinguish it from campaigns in the Campaigns list.

    • Status Reason

    Enter any other information that you want to include in the campaign template.

  4. On the Financials, Administration, and Notes tabs, enter any other information that you want to include in the campaign template.
  5. Click Save.

    Microsoft Dynamics CRM assigns a campaign code to the template, and additional options become available.

  6. Under Details, click the item you want to add to your campaign template:
    • Planning Tasks
    • Campaign Activities
  7. If you want to include a product list or any sales literature in your campaign template, under Sales, click Target Products or Sales Literature.
  8. If you want to include a specific marketing list in the campaign template, under Marketing, click Target Marketing Lists and add the marketing list.
  9. If your campaign template is related to other existing campaigns or campaign templates and you want to link them, under Marketing, click Related Campaigns and add the campaigns or templates.
  10. When you have finished setting up your campaign template, click Save or Save and Close.

Put your campaign template to work

Now that you have created a campaign template, you can put it to work by creating a new marketing campaign based on the template. Create a new campaign by copying the campaign template.

  1. In the Navigation Pane, click Marketing, and then click Campaigns.
  2. In the View list, under System Views, click Campaign Templates.

    Tip

    You can also sort the Campaigns list into campaigns and campaign templates by clicking the Template column heading. Campaigns are listed with a No in this column and campaign templates are listed with a Yes.

  3. Open the campaign template that you want to copy as a new marketing campaign.
  4. On the Actions menu, click Copy as Campaign.
  5. In the Campaign form, make any necessary adjustments to the default settings.

    Tip

    By default, Microsoft Dynamics CRM uses the campaign name from the template. To help you distinguish actual campaigns from campaign templates, be sure to remove the word "Template" from the name of your new campaign.

  6. When you have finished setting up your new campaign, click Save or Save and Close.
