Video: Set up your organization

Before you start using Microsoft Dynamics CRM Online, it’s important to familiarize yourself with the system’s vocabulary to ensure it is compatible with yours. This includes, for example, determining and defining the difference between accounts, clients, contacts, and leads. This video shows you how. In this video, we will go through how you can configure Microsoft Dynamics CRM Online. This capability allows you to completely tailor Microsoft Dynamics CRM Online so that it speaks the language of your business. Out of the box, Microsoft Dynamics CRM Online refers to accounts and contacts, accounts being businesses, contacts being individuals working within those businesses. You might want to refer to them as a completely different name. You might want to refer to them as companies or organizations.

So the first thing we’re going to take you through is how I can actually go into the System Settings area, go into Customization, and what we’re actually going to do is we’re going to rename Accounts and we’re going to call them Companies because that’s more applicable for my organization.

So I click on the Customization link, click on Customize Entities, and it will give me a list of all of the types of information that we store.

I’m going to double-click on Account, and it’s going to bring up all of the information that we store about accounts. First thing I’m going to do is I’m going to change the name so I’m going to call the Display Name Company and I’m then going to change the Plural Name to be Companies. So that now means that our system refers to these things as Companies.

I’m then going to go into the Forms and Views section for this type of information and I’m going to double-click on the Form definition. From here, we can actually play around with what the users actually see on their forms. So, let’s say the currency field I wanted to move that around I can use the arrow keys so in this case I’ll hit the right arrow key and you’ll see that it moves it to the right. Very, very simple to change the layout of the form.

I also might want to remove a field. So I’m going to go and click on the Phone field and click the remove link on the right-hand side. That’s now going to take that field off that form. Very, very simple, very easy to do.

Next, what I might want to do is I might want to add a whole new tab that we want to have information around financial details. So, I’m going to call this tab Financial Details, and then I’m going to click OK.

Now within this tab, we need to add what we call a section. This is where we can group different fields together. So I’m going to create one section here called Financial Details and then I’ve got options as to whether I want to display that label on the form, in this case I am going to display that and I’m also going to tick a box that says put a divider line so that it easily distinguishes it to our users. So, that’s okay, click OK and we’ve now added in our Financial Details section.

Finally, I’m going to click the Add Fields button and it’s going to give us a list of all of the fields we’ve got set up within Microsoft Dynamics CRM Online for this thing called Companies. So Financial Details for us are going to be things like our marketization. We also might want to record various other information on this Financial Details tab such as Shares Outstanding and then finally the Stock Exchange symbol. So, I’ve selected those three, I’m then going to click OK and it’s now going to put those fields into that section on that tab. Once again, I could use the arrow keys to change the layout and move them around.

So, I’m now comfortable with how my form looks, so I’m going to go Save and Close that, and that then takes me back to the definition for Company. I’m going to Save and Close that, and then the last thing that I’m going to do is I’m going to go and publish this and this what makes these form, these changes available to my users. So it’s a good idea to try and do all of this configuration before any users are working on the system.

So, now we have rather than them being called Accounts, we now call them Companies and I can access them through the Sales area, go to my Companies area and if I clicked on New, we just want to go and show you what the form would look like. There you are there you see that the Currency field is over on the right-hand side as we designed and if I click on the Financial Details tab, there are those new fields that we’ve added in. So, as you can see, very simple to tailor this to your business.
