With Microsoft Dynamics CRM Online, you can look at your data in different ways by using views. System views provide a predefined view of each record type. For example, this view shows Active Accounts. Other system views include Inactive Accounts and My Active Accounts. If the system views don't show you what you want, you can create personal views. With a personal view, you select the criteria for displaying the data. In addition, you can add, move or delete any columns, something only an administrator can do with system views.

You start by clicking Advanced Find. Let's create a personal view that contains quotes. Because the All Quotes view is currently open, Advanced Find is already set to look for quotes in the All Quotes view. But you can click the Use Saved View drop-down list to select a different view if you want.

To personalize the view, click the Show Details button. This is where you select the criteria for your view. Let's create a personal view that shows only the records that you own and that are currently active. First, select Owner, and Equals current user comes up by default. Next, to view only active records, select Statusin the first drop-down list. Equals comes up by default. Then, click Enter Value. This list shows the values that are available for Status. Click Active and make it a selected value. Then, click OK.

After setting up your search criteria, you can further customize the view by editing the columns. To remove a column, select it and then click the Remove button. You can also add columns. Select the columns you want, and then click OK. To make it easier to view the data, you can rearrange the columns. Select a column, and then use the arrow buttons to move it to a different position. When you're done, click OK.

After setting up your criteria and columns, you can click the Find button to check out your view. The list shows only those quotes that you own, and are currently active. And the columns show only the information from each record that you want to see. If everything looks the way you want it, click Back to Query. Then, click the Save As button. Type a name for your view and click OK. Then, close the Advanced Find dialog box.

Whenever you want to use a personal view, click the View drop-down list, look under My Views, and then click the one you want. Personal views provide more ways to make Microsoft Dynamics CRM Online work for you.
