Speed up data synchronization

When you work offline, you can speed up data synchronization between Microsoft Dynamics CRM and Microsoft Dynamics CRM for Microsoft Office Outlook in several ways. The most effective way is to manually synchronize your data while you are still online. To do so, in Microsoft Dynamics CRM for Outlook, on the CRM menu, click Synchronize with Outlook.

Typically, the first synchronization is the slowest because you must populate the entire local database. The speed of subsequent synchronizations depends on the amount of data that you have to synchronize. While you are online, follow these suggestions to reduce the amount of data you synchronize for work offline.

Limit the record types you synchronize

If you must synchronize contacts, tasks, and appointments, limit the record types you synchronize to those you require offline. In Microsoft Dynamics CRM for Outlook, on the CRM menu, click Options. In the Set Personal Options dialog box, on the Synchronization tab, select only the record types you must synchronize.

Deactivate local data groups that you don't use

Deactivate local data groups for areas that you don't use in Microsoft Dynamics CRM for Outlook. To deactivate an active data group, on the Data Groups tab, select one or more data groups. On the toolbar, click Deactivate. This deactivates all of the local data groups, and then moves them to the Inactive Data Groups tab.

Reduce the number of records to synchronize

Modify local data groups for areas that you do use in Microsoft Dynamics CRM for Outlook. In Microsoft Dynamics CRM for Outlook, on the CRM menu, click Local Data. Reduce the number of records that you own or share, including templates, contracts, and sales literature. To view the owner of a record, on the Details tab, see the Owner field.

After you implement any of these suggestions, synchronize your data manually while you are still online. The first synchronization will be slower than subsequent synchronizations because Microsoft Dynamics CRM must remove records from the local data store.
