As your business grows, so do your CRM application needs. Microsoft Dynamics CRM gives you the power of choice so you can evolve your business unencumbered by technology limitations. With this power of choice, you can migrate your Microsoft Dynamics CRM Online organization to a Microsoft Dynamics CRM deployment that is either hosted by a Microsoft Dynamics partner or located at your organization's premises.
Which deployment type is best for your organization?
Determine the deployment type that best fits the unique needs of your organization. You have two basic options:
For more information about the system requirements for Microsoft Dynamics CRM, see Microsoft Dynamics CRM 4.0 system requirements.
If an on-premise version best suites your organization's needs, more information about how to purchase Microsoft Dynamics CRM can be found at CRM software: How to buy Microsoft Dynamics CRM.
Getting the migration request started
To start your migration from Microsoft Dynamics CRM Online to an on-premise or partner-hosted Microsoft Dynamics CRM deployment, you must request an export of your organization data from Microsoft Dynamics CRM Online Customer Service . Requests for trial exports are processed every Tuesday, by using the latest existing backup, and there is no effect on your use of Microsoft Dynamics CRM Online. For the final export, Microsoft Dynamics CRM Online Customer Service must disable your organization and make a full backup of your data. Processing of final export requests starts on Thursday; your data will be prepared and published on Friday. Total downtime will be 1-2 days. Importing the data to your partner-hosted or on-premise deployment should take less than a day.
Note
You can request a total of three data exports. This includes trial and final exports.
To start a migration request follow these steps:
- Determine and purchase the correct Microsoft Dynamics CRM deployment type as described in the previous section.
- Contact Microsoft Dynamics CRM Online Customer Service at 877-CRM-CHOICE (1-877-276-2464) and indicate that you want to migrate your organization.
- The Microsoft Dynamics CRM Online Customer Service representative will verify the following information:
- That you are the registered administrator of the Microsoft Dynamics CRM Online organization. The registered administrator is the person who initially purchased the Microsoft Dynamics CRM Online subscription.
Be prepared to provide your company's authorized number or account number.
- Confirmation that you want to migrate your organization to either a partner-hosted or on-premise environment.
If you are migrating to a partner-hosted deployment, be prepared to provide the name of the partner.
- What you want to do with your existing subscription:
- Maintain the Microsoft Dynamics CRM Online subscription for this organization after the migration request is fulfilled.
--Or
- Cancel the Microsoft Dynamics CRM Online subscription after the migration request is fulfilled.
- The Microsoft Dynamics CRM Online Customer Service representative will create a case to track the migration request.
- The Microsoft Dynamics CRM Online Customer Service systems engineer receives the case and performs a backup of the organization data.
- The Microsoft Dynamics CRM Online Customer Service systems engineer sends you an e-mail message that contains the instructions and location to download the data from a secure server. This data will be imported into the new environment.
Migrating to a hosted environment
To migrate an organization to a partner-hosted environment follow these steps:
- Contact the Microsoft Dynamics partner that will help you migrate your organization into the hosted environment. For a list of Hosted Microsoft Dynamics CRM partners, visit the following Web site: Hosted Microsoft Dynamics CRM Partners.
- If you do not want to keep your Microsoft Dynamics CRM Online subscription in tandem with your partner-hosted deployment, you must cancel the subscription. Notice that cancellation fees may apply. To cancel a Microsoft Dynamics CRM Online subscription, contact Microsoft Dynamics CRM Online Customer Service at 1-877-CRM-CHOICE (1-877-276-2464).
Migrating to an on-premise environment
To migrate an organization to an on-premise environment follow these steps:
- Install Microsoft Dynamics CRM Server. If you do not have internal IT staff familiar with Microsoft Dynamics products, we recommend that you engage a certified Microsoft Dynamics Partner to help you with the deployment. For help in locating a partner, see Worldwide Locations.
- Restore the Microsoft Dynamics CRM Online organization database files to the computer that is running SQL Server that you selected during the installation of Microsoft Dynamics CRM Server.
- Import the Microsoft Dynamics CRM Online organization database. To do this, use the Deployment Manager tool that is located on the computer where Microsoft Dynamics CRM Server is installed. For more information about how to import an organization database, see the Import an organization topic in the Deployment Manager Help.
- Verify functionality by starting Internet Explorer and logging into the deployment. Verify functionality by viewing records, running reports, and so on.
- Go live. Notify all users about the new system. Microsoft Dynamics CRM for Outlook users must run the Configuration Wizard and add the appropriate URL for the computer that is running the Microsoft Dynamics CRM Server application. Web application users need only enter the new deployment URL, such as http://MicrosoftCRMServer:5555/, in the Internet Explorer address box.
- If you do not want to keep your Microsoft Dynamics CRM Online subscription in tandem with your on-premise deployment, you must cancel the subscription. Notice that cancellation fees may apply. To cancel a Microsoft Dynamics CRM Online subscription, contact Microsoft Dynamics CRM Online Customer Service at 1-877-CRM-CHOICE (1-877-276-2464).

Known Issues
Data in Lead record fields may be truncated after migration
In Microsoft Dynamics CRM Online the widths for the following fields in the Lead record are 200 characters:
- Street 1
- Street 2
- Street 3
- Address 2: Street 1
- Address 2: Street 2
- Address 2: Street 3
However, in Microsoft Dynamics CRM (On-Premise Edition), the field widths for these fields are set to 50 characters. When you migrate from Microsoft Dynamics CRM Online November 2009 Service Update to Microsoft Dynamics CRM (On-Premise Edition), the data in these fields will be truncated after the first 50 characters.
