Import contacts from a .csv file into Microsoft Dynamics CRM Online

You can import your contact data from other sources, such as Microsoft Office Outlook, into Microsoft Dynamics CRM Online by using a comma-separated values text file (.csv).

To add your contact data into Microsoft Dynamics CRM Online, do the following:

  • Import information from a .csv file.

    If your contact information is stored in another format, such as a Microsoft Office Excel workbook, save or convert data into a .csv file, and then import the .csv file into Microsoft Dynamics CRM Online.

    If you want to import your Outlook contacts as Microsoft Dynamics CRM Online lead records or if you have customized the Outlook contacts record type extensively, first export the information from Outlook into a .csv file, and then import the .csv file into Microsoft Dynamics CRM Online. Use the Outlook Import and Export Wizard to export your contact information.

The example in this article shows you how to export the following contact fields from Outlook and then import them into Microsoft Dynamics CRM Online:

  • First Name, Middle Name, Last Name, Job Title
  • Business Street, Business City, Business State, Business Postal Code, Business Country/Region
  • Business Phone, Mobile Phone, E-mail Address

Export Outlook contacts to a CSV file

  1. Start Outlook.
  2. If you are using Outlook 2007:
    • On the File menu, click Import and Export.

    - OR -

    If you are using Outlook 2010:

    • Click the File tab. Then, click Options, click Advanced. Under Export, click Export.

    The Import and Export Wizard opens.

  3. Click Export to a file, and then click Next.
  4. Verify that Comma Separated Values (DOS) is selected, and then click Next.

    If you receive a message that the feature is not currently installed, click Yes to install it.

  5. In the Select folder to export from list, select the Contacts folder that you want to use, and then click Next.
  6. In the Save exported file as box, type a file name with a .csv file name extension, such as mycontacts.csv, and then click Next.
  7. Click Map Custom Fields.
  8. By default, Outlook exports more fields than are necessary. Therefore, you must remove some of the fields before you export your contacts to a .csv file. For this example, only keep these fields:
    • First Name
    • Middle Name
    • Last Name
    • Job Title
    • Business Street
    • Business City
    • Business State
    • Business Postal Code
    • Business Country/Region
    • Business Phone
    • Mobile Phone
    • E-mail Address

    To remove an unnecessary field (such as Billing Information) from the .csv export file, under the Field column, drag the field names to the Value column. Continue removing fields until you only have the fields that you want to export. For this example, only the 12 listed fields.

  9. Click OK.
  10. Click Finish.

Import the Outlook contacts into Microsoft Dynamics CRM Online

  1. Start Microsoft Dynamics CRM Online.
  2. In the Navigation Pane, under My Work, click Imports.
  3. In the Records group, click Import Data.
  4. In the Data file box, click Browse, locate and select the mycontacts.csv file, and then click Open.
  5. Click Next, and then follow the directions that appear on the screen in the Import Data Wizard.

    Note

    If the data map you need does not exist, contact your organization's Microsoft Dynamics CRM Online administrator to request one, or for information about how to create data maps, see the "Create a data map for use with import" section of the Work with Imports Help topic.

Note

You can review the import information. This includes the number of contacts imported and any failures that occurred. In the Navigation Pane, click Workplace, and then click Imports. In the list, double-click mycontacts.csv or the name of your bulk import record.
