Enable or disable a user record

The steps for doing this task will differ depending on where you manage your Microsoft Dynamics CRM Online subscription. If you manage your subscription at Microsoft Dynamics CRM, follow the steps in the first section. If you manage it at Microsoft Office 365, see the second section.

For subscriptions through Microsoft Dynamics CRM

Can I do this task?

You can't delete an existing user from Microsoft Dynamics CRM Online, because the user record might have associations or dependencies with other records. Instead, you can disable a user record to prevent the user from being able to access Microsoft Dynamics CRM Online. If you enable a disabled user record, you must send a new invitation for the user to access the system.

Enable a user record

  1. In the Navigation Pane, click Settings, click Administration, and then click Users.
  2. In the list of users, select the user records that you want to enable.
  3. On the Record Management tab, click Enable.
  4. In the confirmation message, click OK.

Disable a user record

  1. In the Navigation Pane, click Settings, click Administration, and then click Users.
  2. Click Enabled Users in the view drop-down list.
  3. In the list of users, select the user records that you want to disable.
  4. On the Record Management tab, click Disable.
  5. In the confirmation message, click OK.

For subscriptions through Microsoft Office 365

Delete users on the Office 365 Admin portal Users page. When you remove a user from your subscription, the license assigned to that user automatically becomes available to be assigned to a different user.

If you want the user to still have access to other applications you manage through Office 365, for example Exchange Online or Windows SharePoint, don't delete them as a user. Instead, simply remove the Microsoft Dynamics CRM Online license you've assigned to them.

Caution

When you sign out of the Microsoft Office 365 Admin portal, doing this doesn't sign you out of Microsoft Dynamics CRM Online. You have to do that separately.
